Associate/Manager, Administration and Operations

Summit Works - is seeking an EA/Operations Manager to join our team. The successful candidate will be highly organized, detail-oriented, and able to communicate effectively with various stakeholders.

Location: Darien, CT, USA (It requires physical presence in the region/city from time to time)

Title: Associate or Manager (based on exp)

Type of Role: Part Time /Full Time

Salary: $55K + Bonus per year (starts with 20hr/wk then converted to full time (40hr) in 2 months)

 

Job Summary:
The Associate/Manager with an Operations Focus will provide high-level administrative support to senior management while playing a hands-on role in supporting operational functions across departments. This position requires a proactive, organized individual capable of handling a diverse set of tasks, including planning, project coordination, process improvement, and data analysis, to streamline and enhance business efficiency.

Key Responsibilities:

    Executive Support:
        Manage daily schedules, travel arrangements, and meeting co-ordinations.
        Prepare meeting agendas, take detailed minutes, and follow up on action items.
        Act as a liaison between management and internal/external stakeholders.
        Draft, review, and edit communications on behalf of executives.

    Operations Coordination (This section has higher priority):
        Assist with operational planning, ensuring alignment with strategic goals.
        Track and report on key performance indicators (KPIs) to monitor departmental performance.
        Coordinate cross-departmental projects, ensuring timely completion and alignment with company standards.
 

        Support the creation, implementation, and monitoring of operational policies and procedures.

        Organizing/attending events, collaborating with external parties

        Client/Market outreach to the important stakeholders

        Managing interns and other junior resources for day to day work


    Project Management:
        Organize and track projects assigned to the operations from various streams.
        Use project management tools to maintain project timelines, track progress, and communicate updates.
        Conduct research and data analysis to support operational projects and decision-making.

    Process Improvement:
        Identify areas for process optimization and work with the operations team to implement solutions.
        Assist in the development of workflows, SOPs (Standard Operating Procedures), and best practices.
        Ensure continuous improvement of administrative processes to increase efficiency.

    Administrative Support:
        Manage executive correspondence, prepare reports, and maintain confidential records.
        Handle expense reports, budgeting, and invoicing on behalf of the executive team.
        Coordinate office management duties, including supplies and vendor relations.

Qualifications:

    Bachelor’s or Masters degree in Business Administration, Arts, Marketing/Communications, Humanities, Public Health, Psychology, Operations Management, or a related field.
    2+ years of experience as Associate or Manager, with exposure to operational tasks or project management.
    Strong organizational, multitasking, and time-management skills.
    Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and project management software (e.g., Asana, Trello).
    Strong communication, presentation and interpersonal skills.

Preferred Skills:

    Knowledge of operational processes and familiarity with business process improvement methodologies.
    Experience with data analysis tools and reporting (e.g., Tableau, Power BI) is a plus.
    Demonstrated ability to work independently, take initiative, and thrive in a fast-paced environment.

    Adaptable, with a strong sense of accountability and ownership over tasks.
